Sharing documents with members
Keep your constitution, site rules and AGM minutes in one place and attach or publish them.
The document library holds your association's files — constitution, site rules, tenancy agreement, AGM minutes, a newsletter. Upload once, then use them as often as you like.
Find it under Email members → Documents.
What you can upload
PDFs, Word documents and images, up to 10MB each.
Three things you can do with a document
- Attach it to an email. Anything in the library can be attached to a message, or attached permanently to a template so it goes out every time.
- Send it on its own to one member or a group, straight from the library.
- Publish it on your website, if you use the website builder. One tick puts it on your public page for visitors to download.
Publishing, and unpublishing
A published document is the one case where a file in your library is reachable by somebody who is not signed in. Untick it and every link ever shared stops working immediately — the file has not moved, and nobody with an old link gets it.
Published documents have their own limits, tighter than the library's: 20 per site, 5MB each. A file too big to publish is still filed in your library; it just cannot go on the public page.
Where files are kept
Everything else in the library is private. Files are not sitting at a guessable web address — every download goes through Allotmin and checks who you are first.
